SCiNiTO AI & Data Privacy Policy

1. Purpose and Scope
This policy outlines how SCiNiTO (“the Platform”) uses artificial intelligence technologies and handles user data, with a focus on data security, privacy, and responsible AI use for academic and research institutions.
This policy applies to all institutional users, including students, faculty members, and researchers accessing SCiNiTO.
2. AI Technologies Used
SCiNiTO leverages enterprise-grade AI services provided by trusted technology partners, including but not limited to:
- OpenAI Enterprise APIs
- Google Gemini Enterprise APIs
These services are used solely to provide AI-assisted research functionality such as literature analysis, summarization, and academic writing support.
SCiNiTO does not build or train proprietary large language models using client data.
3. Data Usage and AI Training
- User data and content are not used to train AI models operated by SCiNiTO, OpenAI, or Google Gemini.
- All AI interactions are processed through enterprise APIs, which contractually ensure that submitted data is not retained for model training.
Data is processed only to deliver the requested functionality and is not repurposed for commercial AI training or third-party use.

4. Data Ownership and Control
- All data uploaded to or generated within SCiNiTO remains the property of the client institution and its authorized users.
- SCiNiTO does not claim ownership of institutional data, research content, or uploaded documents.
- Institutions may request data export or deletion in accordance with agreed procedures.
5. Data Security Measures
SCiNiTO implements industry-standard security practices, including but not limited to:
- Secure cloud infrastructure
- Encrypted data transmission (in transit) and storage (at rest)
- Role-based access control
- Regular system monitoring and security updates

6. Data Retention
- User content is retained only for as long as necessary to provide platform services or as required by contractual obligations.
- Temporary AI processing data is not permanently stored by AI service providers.
- Institutions may request data removal upon termination of service.
7. Privacy and Compliance
SCiNiTO is designed to support institutional compliance with applicable data protection and privacy regulations. The platform does not intentionally collect sensitive personal data beyond what is required for account access and service delivery.
Users are advised not to upload confidential personal information unless explicitly required for research purposes and permitted by institutional policy.
8. Responsible AI Use
SCiNiTO is intended to support and enhance human research workflows, not replace academic judgment or authorship.
- AI-generated outputs should be reviewed and validated by users.
- Responsibility for the use of AI-generated content in research and publications remains with the user and institution.
9. Policy Updates
This policy may be updated periodically to reflect changes in technology, regulations, or service architecture. Material changes will be communicated to institutional clients.
